Feature Improvements and Additions

Discharge Patients and Read-Only Patient View

You can now discharge patients instead of deleting them. Discharged patients no longer appear in the active patient list, but all their data is retained for easy re-enrollment if needed in the future. Patient records in discharged status are also read-only, preventing changes while keeping information accessible.

Infinite Scroll for Urgent Challenges and To-Do Items

You can now browse urgent challenges and to-do items in the dashboard and patient list pages using infinite scroll. As you scroll down, additional items will load automatically without any need to refresh, providing a continuous and seamless experience across both pages.

WIH Project Progress Report

The WIH Project Progress Report automatically generates a quarterly overview showing two key metrics for the selected time period. The first column, # Patients Accepted Services, displays the total number of unique patients with at least one solution completed in the quarter. The second column, # Patients Screened Positive, shows the count of unique patients who had at least one challenge created during the same timeframe.

Paired Production and Sandbox Environments

For every new production environment created, a sandbox version with a dedicated URL is automatically paired when includeSandbox is set to true in the environment configuration. The production and sandbox environments share only the core environment config file, while all user lists and actual data remain fully isolated between the two. For instance, creating a patient record in wih.docsforhealth.org does not affect wih-sandbox.docsforhealth.org. This setup is designed to support both training or testing needs and to provide a safe space for troubleshooting specific customer environments.

Patient Date of Birth Stored for Linked Household Members

When you link a household member to an existing patient, the patient's date of birth is now also stored in the database under the household member. This update helps ensure consistency of date of birth information across linked records.

Survey Environment Versioning

Surveys now save the version of the screening form used at the time they are created. When you view a survey that was created with a previous version of the screener, all originally answered questions and their responses are displayed, even if those questions have been changed or deleted in later screener versions.

Updated Patients Page Styling

The Patients page now reflects the refreshed look and feel recently introduced on the Settings page. You will notice updated colors, button styles, and layout adjustments that create a more cohesive experience across the platform.

Help Button Relocation

The help button is now located at the top level of the application interface, no longer nested within the user menu. This change makes help resources easier to find while maintaining the current behavior and function of the help feature.

Phone Number Field: Country Flag, Name, and Dial Code in Dropdown

The country selector dropdown in phone number and secondary phone number fields now displays the country flag, country name, and international dial code together in each option, such as 🇺🇸 United States (+1). You can see these improvements on all forms where a phone number is required, making country selection clearer and more visually informative.

Bugs Fixed

We’ve resolved a wide range of issues that were getting in the way of a smooth workflow. Patient creation and updates now work reliably, with clear validation to prevent errors like duplicate Social Security Numbers. Address information is displayed consistently across forms, edit screens, and PDFs, ensuring complete and accurate documentation. Common frustrations with solution previews—especially for SNAP, RI Works, Dorcas Clothing Collaborative, LTSS, and others—have been eliminated, so you can now preview forms without error messages. The Reports page now loads more clearly with proper indicators, and dashboard counts for resolved challenges stay in sync no matter how you filter. We also fixed several sign-up and account setup glitches, making the process of joining ITO Health more straightforward. Overall, these fixes mean fewer interruptions, less confusion, and a more reliable experience across the platform.

Duplicate SSN Validation on Patient Update

Patient records now trigger a duplication check when you update a Social Security Number (SSN). If an SSN you enter already exists for another patient, the system displays an error message and prevents the update, ensuring each patient's SSN remains unique.

Patient Count Now Consistent in All Assigned Patients Tab

The count displayed in the pill on the All Assigned Patients tab now matches the actual number of patient records listed. Previously, you may have noticed a mismatch between this pill count and the visible patient records; this has been addressed to ensure that both counts are always in sync.

Checkbox Toggle Restored on All Forms

You can now check and uncheck any checkbox across all forms as expected. After selecting a checkbox, clicking it again will immediately clear the selection, allowing you to update your choices without issue.

Apartment/Unit Field Now Displays in LTSS PDF Output

The Apartment/Unit field entered on the "Long-Term Services & Supports (LTSS)" solution form under the "Caregiver Seeking Support" challenge is now shown in the generated PDF. Any value you enter for Apartment/Unit in the edit form appears as part of the address in the final document, ensuring complete information is included.

Patients: Preview Error Resolved for RI Works (child-only grant) Solution

When previewing the RI Works (child-only grant) solution, you will no longer encounter a “Patient saving failed” error. The preview now generates successfully, eliminating the issue where an error message previously prevented completion of this action.

Fix: Solution Preview Error for First Realty Management under Looking for Housing

You can now successfully preview the First Realty Management solution under the Looking for Housing challenge without encountering the “patient saving failed” error. Solution details display as expected, and you are no longer blocked from accessing previews for this particular scenario.

RI Works Solution Preview Error Resolved

You can now preview the RI Works (parent-and-child grant) solution within the RI Works (parent-and-child grant) Eligible challenge without encountering the “Patient saving failed” error. The error no longer appears, and solution details load as expected when you open a patient record and use the Preview option.

Patients: Corrected Address Field Population in CCF Success Wear Solution

When editing the CCF Success Wear solution for the In Need of Clothing challenge, the Address field now only displays Address Line 1 and Address Line 2, with city, state, and zip code remaining visible in their dedicated fields.

Fixed: Solution Preview for DORCAS Clothing Collaborative

Previewing either solution variant for DORCAS Clothing Collaborative under the challenge In Need of Clothing now works as expected. The system no longer triggers a patient save or displays the “Patient saving failed” error message during preview, and both solution variants can be accessed without interruption.

Solution Preview for Snap Application Fixed

When you preview the Snap Application solution under the Snap Eligible challenge, the preview now loads correctly without displaying the error message “Patient saving failed.” You are no longer blocked from viewing solution details in this workflow.

Fix for "Patient saving failed" Error When Previewing Solutions

You can now preview the Amos House Vocational Training (WIH) solution under the Unemployed/Underemployed challenge without encountering a "Patient saving failed" error. The error message no longer appears, and the solution preview loads as expected since patient data is not saved during this action.

When editing a patient record from the Paratransit Service Needed challenge with the RIDE Program Application solution, both Address Line 1 and Address Line 2 are now populated in the edit form if the information exists in the patient record. You see the complete address fields for review and updates when accessing these forms.

ROI Form Creation for Duplicate Patients

You can now generate a Release of Information (ROI) form for a patient record even if it appears as a duplicate. When selecting a duplicate patient from the list after clicking Create New, the system allows you to proceed with creating the ROI form for that specific record.

Fixed: Patient Creation Issue

When you add a new patient, the process now completes successfully and immediately displays the patient record in the All Patients section. This update resolves an issue where patient creation failed and no error message or confirmation was shown.

Dashboard: Consistent Resolved Challenges Count for "All" and "Me" Filters

The resolved challenges count for the logged-in user now appears consistently when toggling between the "All" and "Me" filters in the Dashboard → Updates section. All challenges you have resolved are accurately reflected in both filters.

Resolved: Finish Setting Up Account Button on Signup

On the "Let’s set up your account" screen, the Finish Setting Up Account button now becomes active as soon as you successfully verify your phone number. This corrects the previous issue where the button remained disabled, preventing you from moving forward after verification.

Patients: SSN Field Now Accessible in Add Patient Flow

The Social Security Number (SSN) field on the Add Patient screen now accepts input as expected. You can click into the SSN field and enter or paste a value when adding a new patient.

SignUp: Error When Finishing Account Setup Resolved

Users are now able to complete the signup process without encountering an error on the “Let’s set up your account” screen. Entering your Name and Position and clicking Finish setting up account proceeds without displaying the “An error occurred while updating user” message.

Reports Page Loading Behavior Improved

The Reports page now displays a loading indicator while retrieving your data, instead of briefly showing a message that no reports are available. This update removes confusion by only showing the "No reports" message when there truly are no reports to display.

Letter-Type Solution Flow and PDF Preview Fixes

Users working with Letter-type solutions now experience the correct workflow when clicking the Letter button: the edit solution screen appears first, followed by PDF preview, and then the Complete page. The PDF preview also opens within the application and no longer redirects you to the login page.

Set-up Page: Updated Button Styling and Field Order

Buttons on the set-up page now use the secondary (outline) style without blue backgrounds, aligning with the current design specifications. The order of fields has also been updated so that the verification field appears before the phone number field, reflecting the intended design layout.

Consistent Horizontal Divider in Account Setup

Faster Loading for Urgent Challenges on Dashboard

The urgent challenges section on the Dashboard now loads at the same speed as the rest of your dashboard data after you mark or unmark a challenge as urgent. You no longer experience noticeable delays or inconsistent performance when viewing urgent challenges.

Patient Sessions: Improved Session Stability

User sessions now remain active while you continue working in the application. Unintended, random logouts have been resolved so that you are only logged out after the defined session timeout period or when you choose to log out explicitly.

Fix: 500 Server Error on 'Update Existing Patient' after Duplicate Detection

When a duplicate patient is detected during the patient creation process, you can now click the "Update Existing Patient" button without encountering a 500 Server Error. Previously, this error prevented you from proceeding with updating the patient record. This update ensures the patient record can be modified as expected after detecting a duplicate.

Duplicate Patient Warning Message Display

When creating a patient with details that match an existing record, only the gray "Similar Patient Found based on Name and Date of Birth" message is now displayed. The extra blue message that previously appeared in this situation has been removed to align with design specifications.

Email Notification Links Navigate to Reports Page

Email notification links for reports now open directly to the Reports page in the application, with the Reports tab already selected. Previously, these links would take you to the Graph page without any tab selected.

Re-Enroll User Popup Label and Search Bar Alignment Update

When you open the Re-Enroll User popup for a discharged patient, the "Choose User" label now appears above the user selection area. The search bar within this popup has been updated so that the placeholder text and search icon display with improved alignment for a clearer and more consistent layout.

Discharge Confirmation Message Correction

When you discharge a patient, the confirmation message now states that the patient was discharged successfully, rather than incorrectly indicating the patient was deleted. This change ensures the messaging accurately reflects the discharge action performed on the patient's profile.

Edit Patient Screen: Section Title Capitalization Update

The section title previously displayed as "Danger Zone" on the Edit Patient screen now appears as "Danger zone", reflecting the correct capitalization convention for section headings.

Improved Country Code Dropdown on Sign-Up

Session Expiry Across Browser Tabs After Logout

When you log out of the application in one browser tab, any other open tabs in the same browser will now immediately redirect you to the login page if an action is performed, rather than waiting for a manual page refresh. This ensures your session ends promptly in all active tabs after logout.

Demographics Section Populates in SNAP Application

The Demographics section now automatically displays existing patient data when you access the "SNAP Application" solution within the "SNAP Eligible" challenge. Previously, this section remained empty even when relevant data was available in the system.

Create Account: Eye Icons for Password Visibility

On the Create Account screen, each eye icon now independently controls the visibility of its respective field. The eye icon next to the Password field will toggle only the visibility of the Password, and the eye icon next to the Confirm Password field will toggle only the Confirm Password visibility.

In the edit form for the "In Need of Clothing" challenge with the "DORCAS Clothing Collaborative" solution, the question "Do you have children under 18 who are living with you?" now correctly displays the "Yes" and "No" options. Patient Address Now Displayed in Clothing Challenge and Solution Records

Patient records in the CCF Sandbox environment now display the patient’s full address in both the “In Need of Clothing” challenge and the “DORCAS Clothing Collaborative” solution records, when a valid address is available in the profile.

Patient Full Name Display in Challenge and Solution Records

Patients’ full names, including middle names, now display correctly in the “In Need of Clothing” challenge and the “DORCAS Clothing Collaborative” solution within the CCF Sandbox environment. When a patient profile contains a middle name, all three components—first, middle, and last name—appear in both challenge and solution records, ensuring complete identification.

PDF Export: Visible Check Marks for Selected Options in Financial Hardship Forms

PDF exports for the “Financial Hardship Protection for Utilities” solution now display check marks for all checkbox options you select in the CCF Sandbox environment. The exported PDF reflects your selected choices, ensuring that documentation matches what you see in the application interface.

Finish Resetting Password Screen Design Alignment

The "Finish resetting password" screen has been updated to ensure consistent alignment with the Figma design. Users who refreshed their browser after editing a solution were previously shown a warning and, after proceeding, experienced a delay in accessing the Edit Solution page when selecting "Start Letter"—the page would appear only on the second attempt. This glitch in session handling has been resolved so that clicking "Start Letter" now consistently opens the edit page on the first try, even immediately after a browser refresh.

New environments are now created automatically during deployment. HIPAA DLP Simulation Policy Impact Review

Asset Migration from DFH Management to DevStaging Account

Self-service Training Mode Setup

When you enable Training Mode, you are directed to Training Mode in the same tab if you already have a sandbox account. If you do not have a sandbox account, you are automatically added to the sandbox environment and then taken to Training Mode in the same tab.

AI JSON Builder Validation Enhancements

You can now validate your JSON directly in the AI JSON builder using the same set of checks previously available only in the standalone ito-data-validator tool. Shared Mailbox for Automated Security Alerts

A dedicated shared mailbox now receives AWS SNS notifications, Mongo Atlas sign-up messages, and other automated security alerts. Power Automate processes incoming emails from this mailbox and stores them in the Compliance SharePoint for centralized recordkeeping.

AWS CloudWatch Alarms for VPC Resource Changes

You can now monitor changes to VPC resources in the dashboard with newly configured AWS CloudWatch alarms based on Security Hub controls. Whenever VPC configuration or usage deviates from expected patterns—specifically for controls CloudWatch.11, CloudWatch.12, and CloudWatch.13—an alarm is triggered for your review. For new VPCs, assign the CIDR range 11.0.0.0/16 and create two subnets with 11.0.1.0/24 and 11.0.2.0/24 to ensure proper IP allocation; a third subnet can use 11.0.3.0/24.

Antivirus Scanning with CloudWatch Alerts for EC2 Instances

EC2 instances now have antivirus software installed and actively monitoring for malware, in line with the Antivirus Policy. Scan results and detection logs are automatically forwarded to AWS CloudWatch. Alarms are configured to trigger for any malware detections or scan failures, sending alert notifications directly to the security team or designated email addresses via SNS.

Organization Contact for New Environments

When you create a new environment, you can now specify a name, email, and phone number for the organization contact. This contact becomes the initial user account for the environment and holds primary responsibility for managing users.

New "Domain" Field in Solutions API

The Solutions API now includes an optional domain field, allowing each solution to be categorized with a free text value. Solution records will display this field when populated, so you can view or export solution domains directly from API responses. The field is supplied by internal data sources and is not user-editable.

90-Day Password Rotation for Microsoft Accounts

You are now required to update your Microsoft account password every 90 days. The new password must be different from your previous three passwords. This policy aligns with our Access Control Policy and also applies to Cognito user accounts.

Retention Period Set for CloudWatch Log Groups

CloudWatch log groups that previously had their retention period set to “Never Expire” now have a defined retention window of seven years. This change ensures logs are automatically deleted after seven years, aligning with compliance requirements including SOC2, HIPAA, and state-specific regulations.

AWS Asset Tagging Based on Information Classification Policy

AWS assets are now tagged in Scrut according to the Information Classification Policy. Each asset is assigned one of the following classifications: INTERNAL for internal resources, CONFIDENTIAL for production systems and storage containing customer data, or PUBLIC for publicly accessible services like frontend S3 buckets and websites.

Download One-Off Reports with Custom Date Ranges

You can now generate and download single-use reports for any custom date range. Each one-time report you request will be automatically listed in your reports history, where it remains available for future download or reference.

Revised log-in, password reset, and sign-up flows

The log-in, password reset, and sign-up experiences have been updated with redesigned screens for a more consistent appearance and improved clarity during each step. Visual cues and instructional text help guide you through account access and recovery, whether you are setting up a new account or resetting your password.

Dashboard and Patient List: Sidebar Card Default Ordering

The default order of sidebar cards for urgent challenges and to-dos on both the Dashboard and Patient List pages is now based on update time. For to-dos, patients appear according to the to-do that was most recently updated, whether it was added, completed, edited, or removed. For urgent challenges, the order reflects the most recently updated urgent challenge for each patient, including actions such as added, completed, created, or removed.

MultiSelectFormGen Supports Prefilled Keys

MultiSelectFormGen fields in layout JSON for forms and letters now recognize the preFilledKey property and will automatically select any options whose displayName matches the value of the prefilled key. This allows relevant data to be pre-populated for users without requiring manual entry if matching information is already available.

Contact Column Displays "None" When No Phone Number Is Provided

The contact column in the patient listing now shows "None" if no phone number is provided for a patient. When a phone number is later added, the value in the contact column automatically updates from "None" to the entered phone number.

Enhanced Record Validation Before Database Push

Client-side validation now checks all records in Airtable before they are pushed to the database. You receive immediate feedback if any record does not meet validation standards, allowing errors to be identified and addressed before data is sent.

Improved Error Messaging for Release of Information Creation Without CNE Form

When you attempt to create a new Release of Information from the Edit Patient section and the CNE form is not present, you will now see a clear message indicating that no CNE form is available. Previously, this scenario led to navigation to an empty page without any feedback.

Input Validation in CNE ROI Form Fields

Input validation has been added to all fields in the CNE ROI Form. The Telephone Number field now accepts only numeric values and permitted symbols, while Name fields are restricted to alphabetic characters and spaces. You receive real-time feedback if invalid input is entered, and placeholder text or tooltips display the expected format for each field.
